The role responsibilities

Reporting in to the Grayce Compliance Manager, the Administrator is responsible for:

  • Acting as a point of contact for new employees from offer stage and beyond.
  • Drafting contracts of employment for new joiners and assisting with the preparation of offers.
  • Providing candidates with a clear picture of specific requirements and timescales within the onboarding process.
  • Ensuring service level agreements are met at all times and candidates are screened in line with requirements.
  • Carrying out right-to-work checks, ensuring immigration status is confirmed and accurately recorded.
  • Being the first response for compliance related queries.
  • Maintaining appropriate and professional communication channels at all times between clients and relevant internal Grayce departments.
  • Proactively ensuring timely, effective and efficient service at all times.
  • Ensuring background check portal is continuously updated and use this to provide real-time updates to key stakeholders as required.
  • Providing regular progress updates of background checks to leadership team and other key stakeholders.
  • Monitoring progress to ensure targets are on track. Escalating issues of non-compliance to Compliance Manager and relevant team leader, as required, reporting potential delays to start dates in a timely manner.
  • Obtaining additional documentation as required to clear background checks.
  • Working to strict deadlines to ensure onboarding is not delayed.
  • Assisting with the timesheets process to ensure they are submitted on time.
  • Coordinating day 1 and 2 induction meetings.
  • Being available to meet and greet new joiners in HQ on day 1 of employment.
